Ticketing Cancellation & Refund Policy Framework
Effective: February 23, 2026 | Version 1.0
This policy defines the rules, responsibilities, pricing structure, and operational handling of event ticket sales, cancellations, changes, and refunds for events sold through the Cars2Meet platform.
1. Platform Role and Responsibility
The platform operates as a ticketing intermediary that facilitates ticket sales on behalf of third-party event organisers. The event organiser is solely responsible for planning, delivering, modifying, postponing, or cancelling the event. The platform provides ticketing infrastructure, payment processing integration, ticket distribution, fraud monitoring, and refund processing tools where applicable. The platform does not assume liability for event execution, quality, safety, legality, or fulfilment.
2. General Ticket Sales Rule
All ticket purchases made through the platform are final and non-refundable, except under the specific circumstances defined in this policy. Refunds are not issued due to personal circumstances, scheduling conflicts, travel issues, weather conditions (unless the event is officially cancelled), or failure to attend.
3. Event Status Definitions
- Confirmed: Event proceeds as originally scheduled.
- Cancelled: Event will not take place in any form.
- Postponed / Rescheduled: Event is moved to a new date and/or time.
- Materially Changed: Significant change to key aspects of the event (e.g., location, core format, headline feature), as determined by the organiser.
4. Refunds for Cancelled Events
Ticket holders are entitled to a refund of the ticket face value (base ticket price).
The following are non-refundable unless required by law:
- Platform service fees
- Booking or transaction fees
- Payment processing fees
- Delivery or digital ticketing fees
- Optional add-ons
Refunds are issued from funds collected for the event. The organiser remains financially responsible for refunds if event revenue is insufficient.
5. Postponed or Rescheduled Events
- All tickets remain valid for the new date by default.
- Customers unable to attend may request a refund within 14 days following the official announcement.
- Approved refunds follow the same structure as cancellations: ticket price refundable, fees non-refundable unless legally required.
6. Material Changes to Events
Refund eligibility is determined by the organiser in coordination with the platform. If refunds are approved, the same financial structure applies: ticket price refundable, fees non-refundable unless required by law.
7. Customer No-Show
Failure to attend an event does not qualify for a refund unless the event is cancelled or refund eligibility is explicitly granted.
8. Refund Request Process
Customers must submit refund requests through their platform account within the stated refund window. Required information may include order ID, ticket details, and payment method confirmation.
9. Payment Processing and Timelines
Refunds are issued to the original payment method. Once processed, funds typically appear within 5–10 business days depending on banking institutions. Organizer payouts for ticket sales are processed up to 10 business days after the event ends, via Stripe Connect or manual bank transfer.
10. Chargebacks and Disputes
Customers are expected to follow the platform's refund process before initiating a payment dispute. The platform reserves the right to provide this policy and transaction records as evidence in disputes.
11. Organiser Obligations
Event organisers agree to:
- Communicate event status updates promptly
- Provide accurate event information
- Comply with consumer protection laws
- Maintain required permits and licenses
- Follow health and safety regulations
12. Policy Updates
The platform reserves the right to update this policy. The version in effect at the time of ticket purchase governs the transaction.
13. Organiser Payout & Settlement (Pay After Event Model)
The platform operates under a Pay After Event settlement structure. All ticket revenue is collected and held by the platform until the event has taken place and post-event financial reconciliation is completed.
Payout to organisers occurs only after:
- The event has concluded
- The reconciliation period has passed
- Pending refunds, disputes, and chargebacks have been processed or reserved
14. Financial Responsibility for Cancellations and Refunds
Event organisers are financially responsible for refunds resulting from cancellations, postponements with refund windows, material changes, or legal obligations. Refunds are deducted from event revenue prior to organiser payout.
If total refund and dispute amounts exceed collected ticket revenue, the organiser remains liable for the outstanding balance.
15. Chargebacks and Payment Disputes Impact
Customer payment disputes and chargebacks, including any associated banking or dispute fees, are deducted from event revenue balances prior to payout.
16. Early Payout Exceptions
If the platform provides early or partial payouts before the event, the organiser remains liable for future refunds and disputes. The platform reserves the right to recover funds or offset future payouts.
17. Settlement Finalisation
Settlement is considered final once refund windows close, disputes are resolved or reserved, and payout has been issued. Subsequent disputes may be recovered from future organiser earnings.
18. Platform Pricing Structure
18.1 Current Fixed Pricing Model (Phase 1)
The platform currently operates under a fixed-fee ticketing model.
- Platform Service Fee: €1.00 per ticket sold
- This fee is added to the ticket price at checkout and retained by the platform
18.2 Future Hybrid Pricing Model
The platform reserves the right to transition to a hybrid pricing structure in the future, which may include a combination of percentage-based fees and fixed per-ticket fees. Organisers will be notified before any pricing model change takes effect.
18.3 Payment Processing Fees (Stripe)
Payment processing is provided through Stripe or other payment providers.
- All payment processing fees are the responsibility of the event organiser
- These fees are deducted from event revenue prior to payout
- Processing fees are not retained by the platform as revenue
Net Organiser Payout Formula:
Gross Ticket Sales
– Platform Service Fees (€1 per ticket)
– Stripe / Payment Processing Fees
– Refunds
– Chargebacks & Dispute Fees
= Net Payout
19. Ticket Validity and Entry
A ticket grants entry to the event subject to organiser rules. Entry may be denied for safety, legal, or conduct-related reasons. The platform is not responsible for entry decisions made by event staff or venues.
20. Ticket Transfers and Resale
Tickets may only be resold or transferred through official platform tools if enabled. Altered, duplicated, or unauthorized resale tickets may be cancelled without refund.
21. Fraud Prevention
The platform may cancel suspicious transactions, limit ticket quantities, delay payouts for high-risk events, and request identity verification from organisers.
22. Force Majeure
Neither the platform nor organiser is liable for failure to perform due to events beyond reasonable control, including natural disasters, government restrictions, public health emergencies, civil unrest, or venue closures.
23. Limitation of Liability
The platform is not the event organiser and is not liable for event quality, safety, or delivery. Liability is limited to the ticket price paid (excluding fees), to the extent permitted by law.
24. Customer Data and Privacy
Customer data may be shared with organisers solely for event management purposes. Both parties must comply with applicable data protection laws, including GDPR where applicable.
25. Taxes
Organisers are responsible for reporting and paying all event-related taxes. The platform issues invoices only for its own service fees.
26. Dispute Recovery Rights
If customer disputes occur after payout, the platform may offset against future organiser earnings, issue an invoice for recovery, or withhold future event revenue.
27. Event Content and Legal Compliance
Organisers are responsible for event legality, required permits, insurance, and regulatory compliance. The platform may remove events violating laws or platform standards.
28. Insurance
Organisers may be required to hold public liability insurance and provide proof upon request.

- Essential: Always active. Required for authentication, security, and basic platform functionality. Cannot be disabled.
- Analytics: Enables usage statistics, error tracking (Sentry), and performance monitoring. When disabled, no analytics data is collected and Sentry error reporting is deactivated.

We do not track you across other apps or websites, and do not sell or share personal data with advertising networks or data brokers.
- Personalization: Enables location-based features such as Google Maps for event locations and address autocomplete. When disabled, map features show a consent prompt instead.
